Dear AAPG Student Chapter’s Leaders in Asia Pacific Region,
Upon thinking of a better way to spread information on AAPG Student Chapter (SC) Operation to all student chapter’s leaders throughout the region effectively, I finally found that putting a note every particular period (once a month?) through this AAPG Asia Pacific Region web is one of the best. Therefore, I don’t have to repeat the same message to every one for a certain important thing that I would like you to know (as what I have done). In addition to that, this web has been a place for SC activity highlights, which you have to visit to get inspirations.
One milestone in SC life is now coming. No one who claims that he/she got an active SC doesn’t comply with this duty. And never ever to do this if your chapter thinks it’s rich enough to fund all activities, and ungrudgingly to let US$1000 flies away. It is one of Annual Reports that dues sometime in July or August according to the Bylaws and SC Operational Manual (see attachment). It is the End Term or Final Report that every single SC has to submit to Mike Mlynek at student@aapg.org (cc to myself).
Every year SCs are required to submit 2 annual reports to AAPG. This is very necessary for AAPG as a mean to monitor your activity and let it knows that you are still “alive”. For SC who succeeds to do that, an L. Austin Weeks Grant for value US$1000 will be given away to support your activities. Look at a statement from the Bylaws regarding annual reports.
SECTION IX: REPORTS
ARTICLE 1
The student chapter shall file two reports with AAPG Headquarters. The first report, to be filed in December, shall list the executive committee, committee heads and list of the members in the chapter as of December 1. The second report, due at the end of the school year, will summarize the chapter’s activities for the year, provide a summary of the chapter’s budget, and list the officers elected for the following year.
I also attach two report samples from established SCs that you can refer to. Report contains noted above are best fitted to established SCs. However, considering that many of you just popped up this year and haven’t done the first report (that due in December), I suggest you to write down all report contains for this report period in order for your report to be considered as Final Report.
Along with the next Mid Term (December 1) Report your SC will be considered to receive L. Austin Weeks Grant (visit AAPG web for further info on this Grant).
I give you time until the end of July to submit your report to Mike Mlynek at students@aapg.org and cc to me.
Your report shall list:
1. SC executive committee (read bylaws Section VII article II)
2. SC members
3. Activity summary
4. Chapter’s budget summary
5. Officer elected for the following year (if any)
